The last thing we need is to be bogged down with the minutia of the administration elements that really, really take up a lot of your day, and can even take a toll on you too.
And these little daily, weekly tasks can really take up a significant amount of time.
I want to provide you with 10 AI Tools to help make your day-to-day easier.

First Touch - What Do You Want To Do About It?
Just a quick side note. Every company should/does/I strongly encourage an AI compliance or ethics board on how you integrate tools into your overall architecture of your business. Check with your IT and security team on what you can and cannot have on your servers and your infrastructure. Need help with this? There are new tools coming out every.single.day. It is hard to keep up with all of them.
I’m trying to be practical here. I’m really focused on specific tools that you can utilize that are going to complement your current ways of working, not make it more complicated.
So, I’m going to focus on tools that take up time during our week. The administrative “stuff” that you need to do instead of focusing on customer-facing activities and engagements.

10 AI Tools That I Recommend
Napkin –
Here’s Why I Like It - Do you want a good-looking chart in your presentation? Napkin will do it. Have a little bit of information on what you need, Napkin can easily help you more and manipulate your design and graphic to what you want, and easily embed it into your deck or wherever you need it.
No more spending hours or yelling at your computer. Stress level should go down here.
Here’s Why I Like It - Gamma.ai is a great tool for building presentations quickly and efficiently. You can develop a clean deck in a matter of minutes, all customized around what you want. You have a few options on whether you want an AI prompt to build you a deck, you have specific information you want to provide, and then the number of slides.
No longer are you having to spend hours trying to make a deck look nice when you need to change it up for an upcoming meeting.
Here’s Why I Like It - MapThis is a mind-mapping tool that can break down your ideas in an easy-to-see chart. Whether it’s from the latest meeting with a customer and you need to develop a go-to-market strategy for a new product, build out a subcontracting plan for your business, or just a marketing plan, MapThis can break it down.
Here’s Why I Like It - One of the most time-consuming items is…yes…updating your opportunities. From what happens on calls, new client information, competitors, etc. Manual entry takes so much time. Breeze will help you add context to your opportunities with ease, which means you can have more data and more substance on your opportunities.
Add in additional tools such as Supernormal, Gong, Otter.ai and you can wrap in the highlights of your conversations into your opportunities you are not only tracking the important aspects, you’re also utilizing the client’s language too.
Here’s Why I Like It - Social selling is critical in 2025 and LinkedIn is where I spend most of my time. I’m on there daily engaging with clients, meeting new ones, and commenting on posts.
Taplio’s AI tool helps me build, schedule, and post my LinkedIn Posts, also provides a CRM tool to see other people in similar industries as me so I can connect with them, can see their recent posts (instead of searching), look at viral posts, and much more. It is a great tool to develop and grow your social selling network.
Here’s Why I Like It - When you use ChatGPT, Claude, Perplexity, Gemini, or another tool, the output of the LLM can come across as a bit robotic. Want to soften the language and how it sound a little more humanized?
You can either write a multi-prompt or head over to ZeroGPT and have it help humanize your chat. ZeroGPT will take your recent output from an LLM tool and re-write it. Simple as that. Definitely give it a try.
Here’s Why I Like It - Here is an AI tool that can pack a punch in multiple ways. Need a quick overview of a paper, presentation, political action committee report, 10-K, or something else? Drop it into NotebookLM, whether it’s a link, text, or upload, and get an overview in a matter of minutes. No more waiting around for notes to come back, you can get them in detail so you’re ready for your next week. Want to have it to listen to? Google added the ability to make it a podcast. Lindy.AI – Your Personal Assistant
Here’s Why I Like It - Having a personal assistant can make your day-to-day life easier. While Lindy might not be picking up your kids, grabbing lunch, or doing your chores for you, it can still pack a punch for you.
From setting up appointments, doing research for you, creating to-dos for you, being a virtual travel agent, doing data entry, and so much more, it can integrate with many existing platforms that you have so you can focus on the bigger priorities in your day.
Scribe – Building Standard Operating Procedures (SOPs)
Here’s Why I Like It - SOPs are needed in so many different areas of our day. Sometimes we just have institutional knowledge of how to get things done. But to lay out SOPs is needed for onboarding new hires, training sales, customer engagement activities, and more. Build your own so you have a repeatable process and don’t get bogged down in a time activity.
Tome – Bring Your Presentation to Life
Here’s Why I Like It - I already spoke about Gamma.app above and its ability to bring slide decks to life, Tome adds another level to their tool.
Tome has the ability to integrate with various platforms so you can get a hyper-customized deck. Integrations with LinkedIn, website data, YouTube, discovery calls, PDFs, recent news clippings, and the list goes on. Building a deck will be incredibly targeted and can speak the language of the client…in a matter of minutes.
There are so many more! I’m just here with 10 that I use!
Why This Matters
You provide the human factor. The engagement with people, clients, conversations, brokering meetings, closing deals, meeting new people, advocating for new ones. You can shake hands, go to conferences, meetings, share laughs, and smiles, and do so much more.
You also provide the ability to read body language and understand positions on certain topics that are not so black and white. You know whether you’re in the driver’s seat of an opportunity with the client or not.
This is what your company pays you for. Updating your notes from meetings is part of the job, but can always burden you from performing at your best.
AI cannot provide the human element.
Pack Some Additional Punch
What to really leverage an AI tool? Go a little further with these helpful hints:
Check out the new tool to see how long it’s been in business by looking at when it launched its website. Don’t give out your credit card until the company has a little credibility to its name first.
Check to see if some of your existing tools that you have already installed, might have an AI component, it just needs to be activated. It can save you the headache of getting something new.
Power up your prompts. Don’t just use simplified prompts, use multi-level prompts to get much more enhanced use out of them. Want some suggestions? I have a great list here. By the way…I’m always updating and adding to this list, so bookmark it and check back!
Conclusion
If you were to reflect back on your week and do an after-action review of everything you did this past week. I mean really looked at it, how would you break it down?
Would it be 50% customer engagement, 25% administrative stuff, 25% internal meetings? Or would it be something else? Break down your week. Even break it down further if you want to go by the hour (I challenge you!)
